Call Hold vs. Call Park: Why One Word Makes a Big Difference

"Could you pop them on hold for a moment?" gets asked in every office, every day. What happens to the caller next hinges on which type of hold is used. Most people never give it a thought until it counts, when a caller is left hanging because someone picked the wrong option without knowing there was a choice.

Call Hold vs. Call Park: Why One Word Makes a Big Difference

Call Hold: Easy, but Stuck on One Phone

Call Hold Simple, but Tied to One Phone

Call Hold is exactly what the name suggests. Hit the hold button and the call pauses on that particular phone, and that same phone is the only place it can be picked up again. If the person who put the caller on hold has to walk away, pass the call to a colleague or switch desks, the call stays put, waiting for that one person to come back.

That is perfectly fine when whoever answered the call will also wrap it up. As soon as the call needs to be answered from somewhere else, though, Call Hold stops being handy and starts getting in the way.

Call Park: The Same Pause, on Any Phone

Call Park The Same Idea, Freed From One Phone

Call Park fixes precisely that issue. Rather than pausing the call on one device, parking places it in a shared spot within the phone system, and that spot has its own extension number. Anyone in the office can then grab the call from any phone by dialling the extension, whether they are sitting at their own desk, a coworker's desk or a phone in another room entirely.

That one change opens up what you can do mid-call. The call is no longer bound to the person or the phone that picked it up first.

A Real Estate Office Example

Imagine a small real estate office. A client phones with questions that only an agent can handle, but all the agents are out at showings. The receptionist parks the call on extension 5801, then tells the agents by cellphone or over the office intercom that a client is waiting there. The first agent to free up dials 5801 from any phone, desk set or mobile, and carries on right where the receptionist stopped.

You can also set a parked call to ring back on its own if nobody retrieves it in time. It uses a distinctive ringtone, so it is obvious the call is a parked one coming back and not a brand-new caller. Keep in mind that this ringback works with standard, static call parks only; it does not apply when a call is parked dynamically without a particular extension assigned.

A basic Call Hold could do none of this. The caller would still be waiting on the receptionist's desk phone for one specific person to return.

Which One Should You Use?

  • Pick Call Hold when the person who answered will also finish the call, and nobody else needs to take it over.
  • Pick Call Park when another person may need to answer the call from another spot, such as a different desk, another department or whichever colleague becomes available first.

Small Choice, Big Impact for Callers

Nobody usually explains the difference between these two features until someone learns it the hard way: a caller stuck waiting because the one person who could help was a couple of desks away with no means of picking up. Knowing which to use is a small detail, yet it quietly decides whether a caller feels looked after or abandoned on hold for no reason. Curious about what else your phone system can do? Frequently asked questions

How does someone pick up a parked call?

A parked call is given its own extension number. Anyone in the office can retrieve it by dialling that extension from any phone.

What if nobody picks up a parked call?

A standard, static parked call can be set to ring back automatically with a distinct ringtone. Ringback is not available when a call is parked dynamically without a specific extension.

When is Call Hold the better choice?

Call Hold is fine when the person who answered the call will also finish it and no one else needs to pick it up.
